Phoenix Patrol Ltd ("Phoenix Patrol", "we", "us", "our") is a company registered in England and Wales (Company No. 15935764). We are the data controller for personal information collected through this website and our patrol services.

What information we collect
- Sign-up details you submit through the contact form: first and last name, email address, phone number, full address, postcode, property type, and any message you send us.
- Service records created while we patrol or attend your property: patrol logs, time and date stamps, vehicle GPS routing, and notes about incidents or welfare checks.
- Communications you send us by email, phone, WhatsApp, or post.
- Basic technical data when you visit this website: IP address, browser type, and pages visited, captured by our hosting provider for security and abuse prevention.
Why we use it
- To provide the patrol service you've signed up for (lawful basis: performance of a contract).
- To contact you about your sign-up, your account, or an incident at your property (contract / legitimate interest).
- To send you service updates and the welcome emails after you sign up (contract).
- To keep records required by the Security Industry Authority and for insurance, accounting, and legal obligations (legal obligation).
- To prevent fraud, abuse, and security threats to our website and operations (legitimate interest).
We do not sell your data. We do not use it for advertising or marketing profiling. We do not send marketing emails unless you've explicitly asked us to.
Who we share it with
We only share your personal data with trusted service providers who help us run the business, and only with what they need to do their job:
- Our website hosting and database provider (stores your sign-up data and serves the site).
- Our email delivery provider (sends your confirmation and follow-up emails).
- Our accountants, insurers, and legal advisors when required.
- The police, SIA, or other authorities if we are legally required to, or if there has been an incident at your property that requires reporting.
All processors handling your data on our behalf are bound by contract to keep it confidential and to use it only for the purposes we've instructed.
How long we keep it
- Active customer records: for as long as you are a customer, plus 6 years after your last interaction with us (to meet HMRC and legal record-keeping requirements).
- Patrol and incident logs: 12 months, unless retained longer for an ongoing investigation or insurance claim.
- Website enquiry forms that don't become customers: up to 24 months, then deleted.
Where your data is stored
Your data is stored on infrastructure located within the UK and the European Economic Area. Where any processor uses servers outside the UK/EEA, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or equivalent.
How we protect it
We use industry-standard security measures including encrypted connections (HTTPS), encrypted database storage, access controls so only authorised staff can view customer records, and audit logs of administrator activity. Despite this, no system is 100% secure, and we cannot guarantee absolute security of data transmitted over the internet.
Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct anything that is wrong.
- Ask us to delete your data (subject to our legal record-keeping obligations).
- Ask us to restrict or stop using your data in certain ways.
- Object to processing based on legitimate interests.
- Withdraw consent at any time, where we rely on consent.
- Complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies
This website uses only essential cookies needed to keep the site working (for example, to keep you signed in to the admin dashboard if you're a director). We do not use advertising cookies or third-party tracking cookies.

We may update this policy from time to time. The "Last updated" date at the top of this page will always show when it last changed. Material changes will be communicated by email to active customers.
